Re-Registration


Each spring, re-registration is carried out to ensure that the university and SILT (Student Involvement, Leadership, and Transitions) have the most current information on recognized student organizations (RSOs). This process involves confirming the active status of RSOs, updating contact details, recording newly elected officers, reviewing membership lists, and obtaining a renewed commitment from the organizational advisor.

Instructions for re-registration are as follows:
  1. Prepare all required information before starting the re-registration process.
  2. Formally invite the advisor to continue their role, informing them of an upcoming consent email from The Hub.
  3. Gather an updated list of all organization members and their Emory email addresses.
  4. Ensure your RSO’s current Constitution/Bylaws, including all necessary clauses and procedures, are ready. Your RSO’s Constitution/Bylaws must have all the following:
    • Emory’s Non-Discrimination Clause verbatim
    • Emory’s Anti-Hazing Statement
    • Expectations/requirements for membership
    • How to elect and select officer positions
    • Process and criteria to remove a member and/or officer
  5. Access the re-registration page and click on the re-register button.
  6. Complete the form, answering all queries.
    • List four officers (President, Vice President, Treasurer/Financial Officer, Event Planner/Risk Manager) and the Advisor(s). The President and Treasurer/Financial Officer cannot be the same person.
    • Locate the approved constitution in the "Documents" section of your RSO's The Hub page.
  7. Update the Roster, adding new members and removing those no longer with the organization.
  8. Adjust your RSO's profile picture, considering its circular display format.
  9. After finalizing the form, review and submit it by clicking the blue “Submit for Approval” button.

In the event of incomplete re-registration, the organization will be frozen and can apply to reactivate beginning September 1st of the upcoming academic year.

Re-registration is essential for ensuring effective communication between Emory University and organizations. It is the primary means to provide updates and deadlines. It allows your chartering entity and council to connect with you. Prospective members can access your organization's contact information.

If your organization fails to complete re-registration on time, SILT will freeze your organization's portal. This has significant implications, as it means your portal will no longer be searchable by the Emory campus community, your organization will lose access to funding, and you won't be able to reserve spaces on campus. We strongly encourage you to avoid this situation.

While in the frozen status, current officers will still have the ability to update the portals on the back end.

If your organization misses the re-registration deadline, you cannot re-register or move out of the frozen status until after September 1st. It is important to complete the re-registration process promptly to maintain active status and avoid disruptions.

This means your organization does not meet the current requirements to be featured as an active student organization. Please review the instructions for re-registration above to ensure you meet all requirements.
